Retina Consultants of Texas (RCTX) is seeking an individual to support the administrative needs of the Administrative office and the leadership team.The administrative assistant will provide administrative support to the San Antonio market leadership team. This role will help provide support the day-to-day operations of the office(s) and leadership team to include calendar management, setting up meeting spaces, ordering supplies and meals for meetings, directing all incoming visitors, accepting and managing deliveries. The Administrative Assistant will also help maintain the supplies throughout the office, report issues to the building maintenance contact, and restock items as needed.

  • Responds to and handles confidential and sensitive information with poise, tact, and diplomacy.
  • Welcomes all guests and manages deliveries to the office.
  • Manages the conference room calendar, accepts/denies requests for room reservations, posts schedules outside of the room on a regular basis and as changes are made, oversees/maintains the AV equipment, assures the rooms and white boards are clean, supplies are stocked, and contact lists are kept up to date.
  • Take, Prepare, Distribute meeting minutes. 
  • Ensures supplies are stocked and available for all staff.
  • Partners with Clinic Managers to order medical supplies and office supplies for all locations in the market. This includes working with IT on equipment orders and installation work orders.
  • Maintains coffee and other food supplies provided by department and ensures maintenance of general cleanliness of department, including routine maintenance of facilities.
  • May assist with new hire onboarding to assist with making copies of training documents, ordering lunch & new hire badges/passes.
  • Responsible for processing incoming mail and forwarding to applicable people and/or sites.
  • Responsible for processing outgoing mail including sending applicable mail to the Lockbox.
  • Support AP by gathering and uploading expense receipts into the accounting shared drive to ensure all expenses are documented. This also includes processing payments at times and as needed.
  • Provide credentialing assistance to physicians as needed and in support of the internal credentialing recordkeeper including printing, scanning, and acquiring physician signatures.
  • Supports the practice director in facilities management including maintaining a list of contractors/vendors and working with these vendors/contractors to complete needed work.
  • Execute mileage reports for all physicians in the San Antonio market.
  • Travel to other locations as assigned
  • Executes other duties as assigned.

Education Requirements

  • High School Diploma required
  • College Degree preferred


Experience Requirements:

  • 2-4 years of experience as an Administrative Assistant, business support, or similar role


Physical Requirements:

  • Prolonged performance of desk-based computer tasks.
  • Frequent sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
